This Privacy Policy explains how Shree Balajii Softwares, a sole proprietorship based in Raipur, Chhattisgarh, India ("we", "us", "our"), the provider of the UltraClean platform ("UltraClean", "the Service"), collects, uses, shares, and protects information when you visit our website or use the Service. We are committed to handling your information in accordance with applicable Indian law, including the Digital Personal Data Protection Act, 2023 (the "DPDP Act") and the Information Technology Act, 2000 and the rules made under it.
By using our website or the Service, you acknowledge that you have read and understood this Policy.
1. Our role: when we are a fiduciary and when we are a processor
- Website & enquiries: when you submit a demo request or contact form, or browse our website, we act as the Data Fiduciary for that personal data and determine how it is used, as described below.
- Customer business data: when you are a subscribing business and you enter your own operational data into UltraClean (including your customers', staff and orders' details), you are the Data Fiduciary for that data and we act as a Data Processor that processes it on your behalf and under your instructions, solely to provide the Service.
2. Information we collect
- Information you provide to us: your name, business name, email address, phone number, number of shops, plan interest, and any message you send through our demo/contact forms.
- Customer account & operational data: if you subscribe, the data you and your users enter into UltraClean — for example orders, garments, customer contacts, payments, staff records, attendance and payroll. You own this data; we process it on your behalf.
- Technical & usage data: standard server log information such as IP address, browser type, device information, pages visited, and timestamps, collected to operate, secure, and improve the website and Service.
- Cookies: we use a minimal set of cookies necessary for basic site functionality. We will update this Policy before introducing analytics or marketing cookies.
3. How we use your information
- To respond to demo requests, enquiries and support messages.
- To create, operate, maintain, secure and improve your UltraClean account and the Service.
- To send you service-related communications (for example onboarding, billing, security and important changes).
- To comply with legal obligations and enforce our Terms of Service.
We use your information only for the purposes for which it was collected or for compatible purposes, and we do not sell your personal data.
4. Legal basis & consent
We process personal data on the basis of your consent (which you may withdraw at any time), the performance of our contract with you, and our legitimate business and legal requirements. Where we process customer operational data as a processor, we do so under the instructions and lawful basis of the subscribing business.
5. How we share information
We do not sell or rent your personal data. We share data only as follows:
- Service providers (sub-processors): trusted providers who help us run the Service, such as our hosting/cloud infrastructure provider, our SMS gateway provider (when SMS notifications are enabled), and our payment gateway provider (once online payments are enabled). They may access data only to the extent needed to perform their services.
- Legal & safety: where required by law, regulation, legal process, or to protect the rights, property or safety of our users, the public, or us.
- Business transfer: in connection with a merger, acquisition, or sale of assets, subject to this Policy.
6. Storage location & cross-border transfer
Your data may be stored and processed on servers located outside India. Where data is transferred outside India, we take reasonable steps to ensure it remains protected to a standard consistent with this Policy, and we make such transfers in accordance with the DPDP Act, which permits transfer of personal data outside India except to territories restricted by the Government of India.
7. Data retention
- Enquiry data is retained for as long as needed to respond to and follow up on your enquiry and for our reasonable business records.
- Customer operational data is retained for the duration of your subscription. After termination, you may export your data, and we delete it within 30 days of termination unless a longer period is required by law.
We retain personal data no longer than necessary for the purposes for which it was collected.
8. Your rights
Subject to applicable law, you may:
- request access to, and a summary of, the personal data we hold about you;
- request correction, completion, or updating of inaccurate or incomplete data;
- request erasure of your personal data;
- withdraw consent you have given (this will not affect prior lawful processing);
- nominate another individual to exercise your rights in the event of death or incapacity, as provided under the DPDP Act; and
- raise a grievance with our Grievance Officer (see Section 12).
If your request concerns operational data held within a subscribing business's account, we will refer you to that business (the Data Fiduciary) and assist them in responding.
9. Security
We apply reasonable technical and organisational measures to protect your data, including tenant data isolation, hashed passwords, encrypted (HTTPS) connections, and role-based access controls. More detail is on our Security page. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If a personal data breach occurs, we will act in accordance with our legal obligations, including notification where required.
10. Children
The Service is a business tool intended for use by businesses and adults (18 years or older). It is not directed at children, and we do not knowingly collect personal data of children. If you believe a child's data has been provided to us, please contact us so we can remove it.
11. Changes to this Policy
We may update this Policy from time to time. The "last updated" date above reflects the latest revision. Material changes will be communicated through the website or by other reasonable means.
