There are dozens of laundry and dry cleaning software products sold in India, and from their websites they all look the same: “order management”, “billing”, “reports”, “WhatsApp”. The differences only show up after you’ve moved your shop onto one. Use this checklist in every demo — including ours.
Operations
1. Does it track every garment, or just every order? Order-level tracking tells you an order is “in process”. Garment-level tracking tells you which of the five items is still at the workshop. Ask the vendor to show you a single garment’s history, step by step. If they can’t, lost-garment disputes will stay as hard as they are today. (Why it matters)
2. How does it handle the trip to the workshop? If you have — or plan to have — a central workshop, ask how garments are tracked between shop and workshop. Look for item-level dispatch and item-level receive, not a paper challan typed into a computer. (How UltraClean does it)
3. Can it price everything you clean? Per piece is easy. Check curtains and carpets (by length or area), express surcharges, and order- vs item-level discounts.
4. Quality control and consent. What happens when a garment has a stain that might not come out? Good software records the defect — ideally with a photo — and asks the customer for consent before processing.
5. Pickup and delivery. If you offer doorstep service, check rider assignment, route order and proof of delivery. (Example)
Money and compliance
6. GST invoices and reports. Ask to see a sample GST invoice. Does it show your GSTIN, the customer’s GSTIN for business clients, and the CGST/SGST (or IGST) split? Can your accountant get a GSTR-1 friendly export? (Billing checklist)
7. Dues and day closing. Can you see every unpaid balance, how old it is, and reconcile each counter’s cash at day end?
8. The pricing model. Is it a flat monthly fee, per order, per user or per licence? Per-order pricing punishes you in the wedding season. Ask for the price in writing, and whether it includes taxes. Be wary of vendors who won’t tell you the price until after the demo. (Ours is published.)
Customers and staff
9. Customer communication. Which updates go out automatically, on which channel, and from whose number? Messages from your own shop’s WhatsApp number build your brand; messages from a vendor’s shared number don’t. (WhatsApp updates)
10. Staff, roles and payroll. Can you stop a counter employee from seeing other shops or the payroll? If you have more than a handful of staff, check whether attendance and payroll are built in or need another tool.
The vendor
11. Your data. Is your business on its own database or mixed with everyone else’s? Can you export your customers and orders if you leave? Where is it hosted?
12. Support you can actually reach. Who answers when the counter is stuck at 7 pm on a Saturday? Is support in your language? Will they help set up your price list and import your customers?
How to run the demo
Don’t let the vendor drive. Bring three real orders from last week — including one awkward one (a curtain, a defect, a part-payment) — and ask them to enter those orders live, print the tags, move one garment to the workshop and back, and deliver it with a balance due. Ten minutes of that tells you more than an hour of slides.
